Sharing

Assets or Collections can be shared in different ways:

1. Sharing from the entity page

  1. Go to the Asset or Collection page you want to share.
  2. Click on the gearbox menu.
  3. Select Share
  4. This will open the Share dialog.
  5. See below for what the options mean

2. Sharing from the search results

  1. Search for the Asset or Collection you want to share.
  2. Right click on it.
  3. Select Share
  4. This will open the Share dialog.
  5. See below for what the options mean

3. Sharing multiple Assets at once

  1. Select up to 10 Assets from the Search or Collection Page.
  2. Right click on one of the selected Assets.
  3. Select Share
  4. This will open the Share dialog.
  5. Additionally, for this particular case will be possible to set a name on the share.

Share Dialog

This modal dialog let's you create a share that will be emailed out to the recipients. If you want to create a link that you can send around, please see sharable link.

Note: the following options can be controlled by administrators of your iconik instance and will override what you are able to choose here

  1. Users or e-mails: Select the users by starting to type their name, or if they are not in the list or it's an external user then type in their email address.
  2. Message: Add a message that will be included in the email that they will get.
  3. Metadata View: Optionally choose a metadata view that they will have access to.
  4. Link Expires: Set a date when the share will time out.
  5. Allow download: will let the user download the Asset. It will only allow download from assets that have an original on Cloud storage of type "files".
  6. Allow download Proxy: will let the user download the Proxy version of media assets.
  7. Allow custom actions: allows the use of custom actions by the recipient
  8. Allow comments: will let the user add comments.
  9. Approve comments: will let the user approve any comments that are on the asset.
  10. Allow view versions: lets the recipient view the version history of assets in the share.
  11. Show all users in mentions: If they mention someone in their comment, we will show the users list. Only shows if an administrator allows it
  12. View transcriptions: will let the user view transcriptions.
  13. Optionally choose a password that they have to enter when using the share. This will also be sent to them in plain text.
  14. Click to send.

This will send out an email to all users that have been selected. Alternatively you can generate a sharable link.
