Archive and Restore Search Search Content

Archiving allows you to move an asset's original format to another storage, for example if you don't need access to it very often or if you want to make sure that certain user's will not be able to delete it. By doing this on a saved search you can control archiving and restoring on all assets in that match that saved search..

Archiving a Saved Search

If the file isn't archived, and you have the roles can_archive_formats and can_read_storages and there is a storage with archive set you can archive files.

  1. Go to the search page and open the saved searches panel and find the saved search
  2. Right click or open the menu for the saved search that matches the assets you wish to archive
  3. Select Archive
  4. Select the archive storage if there is more than one.
  5. If you wish to delete the assets after the archive is completed select Delete after archive
  6. Click to confirm.

Please note: This operation will happen in the background, and if there are a large number of assets in the saved search it might take some time

Restoring a Saved Search's contents

If the assets matching the saved search have already been archived, and you have the roles can_archive_formats and can_read_storages you can restore the asset's files.

  1. Go to the search page and open the saved searches panel and find the saved search
  2. Right click or open the menu for the saved search that matches the assets you wish to restore.
  3. Select Restore
  4. Select the storage you wish to restore too if there is more than one.
  5. Click to confirm.

Please note: This operation will happen in the background, and if there are a large number of assets in the saved search it might take some time

Archive Status

Archive status is shown as an icons on the assets that are matched by the saved search. These are to the right of the approval status. Archived status is also shown in the files panel.

This asset has it's main original format online, but it has also been archived.

Asset with format offline

If the format is then deleted from the main storage it will be marked as deleted on the main storage, and an additional icon is shown for that state. It is possible to restore it from archive once in this state.
